Order Issues
If your order arrives with a damaged product, incorrect item, missing item, or defect, please submit a request by email so we can review the issue.

- Full name on the order
- Best contact phone number
- Description of the issue
- Photos of any damaged product attached to the email
Submitting requests in this format helps ensure your message is flagged and reviewed quickly.
Requests must be submitted within 14 days of receiving your order. Requests submitted after this timeframe may not be eligible for replacement or refund review.

Replacement Policy
If a product arrives damaged or incorrect, we may offer a replacement product at no additional cost.
All replacement or refund requests are reviewed on a case-by-case basis, and final decisions are made at the discretion of Coffee Flavor Oils after reviewing submitted information and documentation in order to determine a fair resolution for both parties.
Return Eligibility
Due to the nature of flavor products, many items may not be eligible for return once opened. However, we will review each request individually.
You may be eligible for review if:
- The product arrived damaged
- You received the wrong product
- The product was defective
- An item was missing from your order
Non-Returnable Items
For safety and quality reasons, we may not accept returns for:
- Opened or used flavor products
- Products affected by improper handling, misuse, negligence, or conditions outside the control of Coffee Flavor Oils after delivery
- Items purchased through third-party resellers
Customers are strongly encouraged to review our “Why Our Flavors” and “Technical Guide” sections of the website before placing an order to better understand proper product use and handling.
Refund Processing
If a refund request is approved, the refund will be issued to the original method of payment.
Please allow 5–10 business days for the refund to appear depending on your payment provider.
