Coffee Flavor Oils (“CoffeeFlavorOils.com”) works to process and ship orders as efficiently as possible. The following information outlines our shipping procedures and responsibilities.
Order Confirmation
After placing an order through CoffeeFlavorOils.com, customers should receive an invoice confirmation email shortly after checkout.
If you do not receive an order confirmation email within 48 hours, please contact us so we can verify that the order was successfully completed.
Failure to receive a confirmation email may indicate that the order was not successfully processed due to a payment issue, checkout error, or system interruption.
Customers are encouraged to check spam or junk folders if confirmation emails are not immediately visible.
Order Processing
Orders are processed during normal business operations.
Processing times may vary depending on:
- order volume
- product availability
- shipping destination
If a customer has an urgent order requirement or time-sensitive delivery, they are encouraged to contact us as soon as possible after placing their order.
While Coffee Flavor Oils (“CoffeeFlavorOils.com”) cannot guarantee expedited accommodations, advance notice may allow us to review possible options depending on order status, shipping availability, and operational capacity.
Processing or shipping timelines may occasionally be affected by circumstances beyond our reasonable control, including severe weather conditions, shipping carrier delays, national or regional holidays, transportation disruptions, customs processing delays, government actions or regulatory restrictions, labor shortages, natural disasters, or other unforeseen events.
Coffee Flavor Oils is not responsible for delays caused by these external factors, though we will always make reasonable efforts to process and ship orders as efficiently as possible.

Shipping Confirmation & Tracking
Once your order has been prepared for shipment, a shipping confirmation email with tracking information will be sent to the email address provided during checkout.
In many cases, shipping labels are created and printed prior to the carrier receiving the package. Because of this, tracking information may initially display messages such as:
- Label Created
- Awaiting Carrier Pickup
- Shipment Ready for Acceptance
These status messages simply indicate that the shipment has been prepared and is awaiting its first carrier scan.
Tracking updates typically begin once the shipping carrier collects and scans the package into their system. Tracking activity and delivery updates are managed by the shipping carrier.
Shipping Carriers
Coffee Flavor Oils utilizes established shipping carriers such as UPS, USPS, FedEx, and other reliable delivery services depending on the shipping destination, package requirements, and carrier availability.
Once a package has been transferred to the shipping carrier, delivery timelines, handling, and final delivery are managed by the carrier.
If a customer knows that a specific postal service is required for delivery at their location, they may include that information in the order notes or special instructions field during checkout.
While we will make reasonable efforts to review these requests, Coffee Flavor Oils cannot guarantee that a specific carrier request will be accommodated, as carrier selection may depend on shipping logistics, service availability, and order processing requirements.
Carrier requests submitted through checkout notes are considered preferences and not guaranteed shipping instructions.
Shipment Inspection
Customers are encouraged to inspect shipments upon delivery.
Any claims regarding damaged, missing, or incorrect items must be reported within 14 days of delivery in accordance with our Returns, Replacements & Refunds policy.
Failure to report issues within this inspection period may make the order ineligible for replacement or refund review.
Lost Packages
If a shipment appears lost while in transit, customers should first review the tracking information provided in their shipping confirmation.
If the shipment cannot be located, customers may be required to file a claim with the shipping carrier so that the carrier can investigate the shipment.
Coffee Flavor Oils will reasonably assist customers with shipping investigations when appropriate.
Packages Marked Delivered
If a shipment is marked “Delivered” by the shipping carrier but cannot be located, customers should:
- verify the shipping address entered during checkout
- check with neighbors or household members
- contact the shipping carrier for delivery confirmation
Once a shipment has been confirmed as delivered by the carrier, Coffee Flavor Oils cannot guarantee replacement or refund, as delivery confirmation is controlled by the shipping carrier.
Incorrect Shipping Information
Customers are responsible for ensuring that shipping addresses are entered correctly at checkout.
Coffee Flavor Oils is not responsible for shipments delayed, lost, or returned due to incorrect or incomplete shipping information provided by the customer.
Additional shipping charges may apply for reshipment of returned packages.
Returned Shipments & Reshipping
If a shipment is returned to Coffee Flavor Oils due to incorrect shipping information, delivery refusal, or failure to receive the package, the customer may be responsible for additional shipping and handling charges required to resend the order.
In some cases, returned shipments may also incur additional processing or product replacement costs, depending on the condition of the returned goods.
Coffee Flavor Oils cannot absorb the value of products or shipping costs associated with returned or reshipped orders when the return was caused by incorrect address information or failed delivery attempts.
Customers will be contacted if additional charges are required before reshipping an order.
Shipping Adjustments & Additional Costs
Coffee Flavor Oils (“CoffeeFlavorOils.com”) reserves the right to request additional shipping payment if unforeseen shipping costs occur after an order has been placed.
Situations that may require shipping adjustments include, but are not limited to:
- customer requests for a specific carrier after checkout
- address changes submitted after an order has been placed
- remote or restricted delivery areas
- unexpected carrier surcharges or service adjustments
- unusually large or heavy shipments that exceed initial shipping estimates
If additional shipping costs are required, customers will be contacted and notified before the order is shipped or reshipped.
Orders may be held until shipping adjustments are resolved.
Order Modifications
If a customer requests to add products or modify an order after it has been placed, additional charges may apply.
Customers will be responsible for the cost of the additional product(s) as well as any additional shipping or handling fees required to accommodate the modification.
Order modifications may not always be possible depending on the status of order processing or shipment preparation.
If an order has already been processed or transferred to the shipping carrier, a separate order may be required for additional products.
International Orders
International shipments may include additional shipping charges based on weight, destination, and carrier rates.
At minimum, an additional international handling and shipping fee of $80 USD will be applied to all international orders. Larger shipments, heavier packages, or destinations with higher carrier costs may require additional shipping charges beyond this minimum amount.
Customers are responsible for:
- customs duties
- import taxes
- local import regulations
- customs clearance delays
Customers are responsible for ensuring that the products they purchase are permitted to be imported into their country before placing an order.
Coffee Flavor Oils does not provide customs brokerage, legal guidance, or regulatory advice regarding foreign import laws or restrictions.
If a shipment is delayed, held, rejected, returned, or confiscated by customs authorities or other government agencies, the customer assumes full responsibility for the outcome of that process.
By completing an international purchase through CoffeeFlavorOils.com, the customer acknowledges that they have reviewed and accepted this International Shipping Policy and understand that they are responsible for complying with the import regulations of their country.
Due to the complexity and cost of international shipping, all international sales are final. Coffee Flavor Oils does not accept returns, exchanges, or refunds on international orders.
Shipping Costs
Shipping charges are calculated based on:
- order weight
- shipping destination
- carrier pricing
Shipping costs are non-refundable once a shipment has been dispatched, except in situations where a verified fulfillment or shipping error occurred on the part of Coffee Flavor Oils (“CoffeeFlavorOils.com”), such as:
- an incorrect item shipped
- an incorrect shipping address applied during order processing
- a packing or fulfillment error during shipment preparation
In these situations, Coffee Flavor Oils will work with the customer to correct the issue and may refund or cover applicable shipping costs when appropriate.
